- Why is Lake Health System integrating with UH?

Lake Health is being integrated with University Hospitals as the two systems share a culture that puts patients first and emphasizes compassion in its high quality of care. By combining Systems, we are certain we will offer the best value in health care.
UH and Lake Health already have a multi-year history of collaboration on many clinical fronts in which our clinicians worked well together and conveyed mutual respect. Among those clinical fronts were NICU, cancer care, cardiac surgery, neurosurgery, ENT and others. It makes good business sense to strengthen healthcare forces in the Northern Ohio footprint and offer patients more care options and services.
- When does this change take effect?

This change officially becomes effective beginning Monday, January 3, 2022.
- Can my employees use both Lake Health and UH locations?

Absolutely! One of the benefits for employers with locations spread across the footprint is that now employees have more convenience when seeking Occupational Healthcare services. Operationally, your employees are not locked into one location and options are close to where they may live and/or work.

Your Account Team is not changing at this time. However, as integration continues in 2022, there may be changes based on geographic location. Our attention to detail will still remain at high levels of service regardless of the team put in place to serve your needs.

- Are the services my company currently uses changing?

Yes, as part of this integration, some services may be added and some removed. Most of the changes will occur in the drug panels offered. However, the changes implemented are with our clients’ best interests in mind.
- How will I know about all of the components of this change that will affect my company?
-
There will be a total of three communications that will go out to Designated Employer Representatives (DERs) and HR Personnel either by hard copy or by email. Each communication will reiterate common information as well as new information about the integration as we move closer to the launch date.
- Is the scheduling process different now that UH and Lake Health Occupational Health are now under the same umbrella?
-
At this time, you and your employees may schedule services the same way you have been doing so at the Chardon, Mentor and Willowick locations:
- Physical appointments or annual OSHA compliance testing (Audio Testing, Respirator Fit Testing) can be scheduled by calling 855.525.3622.
- Walk-in services are for drug testing only, web check (digital finger printing) and injury care, etc.
- Walk-in pre-placement and random drug testing individuals need to arrive at least one hour prior to facility closing.
For all other locations including UH North Ridgeville – Medworks, please call the location directly for physical and annual appointments. Contact information is listed on the attached Locations Guide. Most other services can be offered on a walk-in basis. Walk-ins are accepted prior to one hour of facility closing keeping in mind, appointments take priority.
For all locations don’t forget to supply your employees with completed UH Authorization Forms signed by the Designated Employer Representative (DER). The Authorization Form can be found at Employer Authorization Form. Services will be offered the same way as you are currently used to.
- What is an Authorization Form?

An Authorization Form is a form that allows us to double check the services you have authorized for your employees against what we have on your account in the iSystoc EMR. The Authorization Form can be found at Employer Authorization Form. Services will be offered the same way as you are currently used to.
- What is iSYSTOC?
-
iSystoc is a secure, self-service, online employer portal that provides employers employee test results, reports and protocols 24/7. It allows you to check your employees’ complete portfolio of all test and exam results online as soon as they are entered into the system, reducing the need to contact University Hospitals Occupational Health directly. iSystoc also allows you to view current and historical employee activity and view a variety of standard and customized reports.
- How do I access iSYSTOC?

First, each person authorized access to employee results needs to sign the iSystoc User Agreement, then scan and email the Agreement(s) to OCCHealth@UHhospitals.org. Upon our receipt of the Agreement(s), you will receive an Email notification that includes the UH iSystoc web link along with your username and a temporary password. You will also receive a link to launch a demo offering information about the new portal and instructions for setting up and managing your corporate account. Similarly, you will also receive an Email about accessing the MedTox Portal.
- What results can I access through the iSYSTOC Portal?

iSystoc provides you with comprehensive reporting for a variety of services performed in our clinics: physical exams, pension exams, Department of Transportation (DOT) drug screenings and exams, injury care, breath alcohol test screenings and hair drug screenings, to name a few.
Please note: These services are not all-inclusive. Your negative urine drug screening results will be communicated through MedTox. Drug screen results reviewed by the MRO will be shown in iSystoc.
- What is the MEDTOX Portal?

MedTox is a secure, certified drug testing laboratory, partnered with UH to complete the analysis of drug screen specimens. With MedTox performing the analysis, it generally yields quick turnaround times for making results available to you, within 24-72 hours. The MedTox Portal is a tool that allows employers to access negative drug screen results 24/7.
Please note, this time frame applies to negative results only. Timeframes for any positive results will take longer as they need to be investigated by the UH MRO (NTA – National Testing Association) or the Lake Health MRO (CMS – Corporate Medical Services). Once available, all non-DOT drug screen results will be communicated through MedTox Laboratories’ easy-to-use online web portal, MyMedTox.
- How do I login to MyMEDTOX?

Once you have completed and signed your iSystoc Agreement(s), UH will send you login credentials for MedTox. You can log in to MedTox to view results by:
- Visiting MedTox.com
- Clicking on ‘Resources’, under this dropdown click on ‘MyMedTox’
- Click on ‘Log In To MyMedTox’
If you have not received access to MedTox, please send an Email to: OCCHealth@UHhospitals.org including your contact information (name, company name, Email and phone number). We will have you set up as soon as possible.
- Are the iSystoc and MedTox Portals secure?

- What are the timeframes for seeing results in MEDTOX and iSYSTOC?

the system (these are for Non-DOT Drug Screens). For positive results, the timing will be extended, generally up to 10 days due to the specimen being sent to the UH MRO (NTA – National testing Association) or the Lake Health MRO (CMS – Corporate Medical Testing).
Most results can be viewed in iSystoc within 24-48 hours. For larger exam results, this may take up to a week to view as service results are being gathered throughout the system and sign off by our Medical Director is required.
Please keep in mind weekends and holidays may affect the timeframes. If NTA or CMS needs prescription information from the Donor, they will make three phone attempts to reach the person. If they do not respond, the timeframe may take longer than usual and a positive will result if a return call is not successful.
Fees and Invoices
- How will I be notified when the results are ready to be viewed?

If you are classified as the DER, the MEDTOX notification of results being available will be sent to your email. If you are an authorized employee to access results, you can check the site 24/7 to see if results have been posted.
For iSYSTOC, notifications are not sent via email. You can access the site 24/7 to see if results have been posted. Currently, all exam components except laboratory, X-rays and drug screens are available to view when the appointment has been completed.
- When will the Occupational Health Services fees officially change?

The new fee schedule will become effective January 3, 2022.
- Why are my fees changing?
-
Your fees are changing to become more aligned with the UH Occupational Health Programs across the service area. While some fees for services are increasing, others are decreasing. Our goal is to become more competitive with our offerings based on the value we provide. As we bring all UH Occupational Health clients onto one EMR platform, it is necessary to consolidate the fee schedule into one uniform price structure.
- Are the rates for my company going up because we utilize more services than others? Is this based on geography? Small business versus large business?

Your fees are not based on individual utilization, geography or whether you are a small or large business. Fees are based on a variety of factors including operational, supply and technology costs required to function and continue to provide value as trends continually change.
- This wasn’t budgeted for 2022. Can the change be applied to my company on January 1, 2023?

No. All client fees for Occupational Health Services will go into effect at the same time. The effective date of fee changes is January 1, 2022.
- Will my invoice look different?

Yes. The invoices you will begin receiving will not itemize all components of a particular service separately, but rather bundle the fees associated with those services under one service description.
For example, a Bus Physical will not list out all components/fees for this service (Health History, Vision Exam, Blood Pressure, Hearing Exam, Urine Dip), but rather list one fee for the entire package (Bus Physical) unless additional services were added. If this service was for a new hire, an employee seeking a Bus Physical would also have a separate charge for a TB test.
- How will I know what services I use have changed and what the new fees are?

- How long will these fees be effective?

Unlike commercial insurance plans, there is no set time period for fees to change. Your contract and service fees are evergreen unless there is communication from UH. Any time fees for services are changed, you will receive a minimum 30-day notice.
- Will the address I currently send my payment to be changing as a result of these operational changes?

iSystoc and Medtox Ashland Client Enhancements Introduction
- How will I know about all of the components of this enhancement that affect me?

- With this enhancement, is staff being removed? Are the clinic’s hours changing?

No. The staff at our Occupational Health Clinic in Ashland is excited for this new enhancement. They will continue to work at our offices to welcome and care for patients as they do today during our current office hours. This enhancement allows them to focus more on patient care and less on administrative duties that can be handled more effectively in this new manner.
- When is this change taking effect?

This new enhancement will take effect on Monday, July 1, 2019.
- Why is UH Occupational Health – Ashland providing access to its systems for occupational health? The process we currently use works well.

The decision to implement these systems enhancements allows UH Occupational Health – Ashland to become fully integrated into the UH Occupational Health EMR (Electronic Medical Record), achieve better cost, time and resource efficiencies experienced at our other sites and allow you access to critical information more quickly than in the past. Overall, these enhancements allow our staff to focus more effectively on your employees’ needs and less on administrative duties.

Access Information for iSystoc and Medtox
- I am really busy. Can I have my employees access their own results?

No. Because iSystoc and MedTox are employer facing systems, employees are not permitted access to view or obtain results. Logins are only provided to DERs and authorized employer personnel.
- Will I still gain access if I do not complete and sign the iSYSTOC Agreements?

No. Without completing and signing these forms, you and other representatives having access to employee results will not have access to the systems and therefore, will not have access to results. The iSystoc Agreement is located on the UH Employer Solutions Portal at uhhospitals.org/iSystoc. Each person who is provided access by your company to review employee results will need to complete and return these forms to OCCHealth@UHhospitals.org.

These new enhancements are being put into place so that our staff can be more focused on the actual scheduling and caring for your employees, while you will now have the ability to receive results more timely and conveniently.
- Will my company be charged a fee for access to these systems?
