Coordinator, Innovation Support Center

Be part of a dynamic team in an exciting translational drug development program with a national presence. This position provides logistical, administrative, and systems support to the VP in the handling and disposition of a variety of important and confidential activities specifically to support the Innovation Support Center (“ISC”). The primary functions of the ISC Coordinator will center on the ISC’s activity in accelerating discoveries into new medicines for people, and also encompassing cross-departmental interactions within Harrington Discovery Institute.

Activities include:

  1. Therapeutics Development Team support – Includes coordinating and scheduling team meetings, support of national and international collaborative projects, and contribute to portfolio metrics tracking and analysis using institute tools as directed by the VP.
  2. Calendar Management – Manage calendars to ensure smooth flowing schedule, appointments, and events to be attended or conducted on an ongoing basis. Includes preparatory meeting research and materials organization.
  3. Travel Support – Organize travel arrangements for national and international trips, including itineraries and all pertinent information regarding trip. Coordinate offsite meeting logistics.
  4. Logistical Support – Research, develop, test and deploy web-enabled platforms for conducting mission critical activities of the Innovation Support Center.
  5. ISC Project Support – Includes Scheduling of project meetings and archiving project and portfolio documents as well as development of logistical tools for streamlining project tracking activities.
  6. ISC Panel Support – Includes maintaining a calendar of events, coordinating and scheduling quarterly ISC panel meetings, communicating participant availability, establishing teleconference invites and materials distribution, and creating air, hotel, and other travel reservations & itineraries as needed.
  7. Communications – Assist with drafting and editing correspondences, memos and reports, and contribute to developing brochures, newsletters and PowerPoint or other presentations.
  8. Invoicing and Expenses – Processing of invoices and expense reports. Working with existing administrative staff to properly disposition incoming mail/correspondence for the ISC.
  9. Department Representation – Appropriately interacting with department and external partners as being the reflection of the department and an ambassador of HDI.
  10. Other – Potential opportunities abound to contribute to special projects in a cross-functional manner and to develop new skills as part of a collaborative and future-oriented team dedicated to making a difference.

Education/Expertise:

  • BA or equivalent, no preference on background
  • Ability to complete tasks with minimal supervision and with high degree of attention to detail
  • Ability to manage priorities and adjust to varying workloads
  • Ability to exercise judgment with confidential matters
  • Ability to meet deadlines and handle complex tasks while also performing routine duties well

Experience & Knowledge:

  • 5 years executive administrative support and/or business office logistics and coordination in biotechnology, medical technology, or similar field.

Special Skills & Equipment Knowledge:

  • Working knowledge of Microsoft Word
  • Proficiency in Microsoft Outlook, Excel (including use of Pivot Tables) and PowerPoint required.
  • Excellent oral and written communication skills, including ability to conduct complex interactions by telephone
  • Excellent organizational skills
